1. Agreement and who we are
These Terms & Conditions (“Terms”) apply to the website at vapeloxa.com and to orders placed through it. They form a contract between you (the customer) and Vapeloxa (“we”, “us”, “our”), a UK adult-only vape retailer based in Coventry, West Midlands.
By creating an account, placing an order, or continuing to use the site after being asked to accept these Terms, you agree to be bound by them. If you do not agree, please do not use the site or place an order.
-
Business location
Day-to-day operations are based in Coventry, United Kingdom. Contact options are listed on our Contact Us page.
-
Related policies
These Terms sit alongside our Privacy, Shipping, Payment, Return and Refund policies. If there is a conflict on a specific topic, the more specific policy for that topic usually applies, without removing your statutory rights.
United Kingdom · Age-restricted goods
2. Age and eligibility
Vapeloxa sells nicotine and vaping products that are age-restricted under UK law. You must be 18 or over to browse our catalogue for purchase and to place an order.
Important. If we reasonably believe an order breaches UK age rules, we may cancel it, withhold despatch, and refund eligible payments according to our payment and refund processes. Misuse may lead to account restriction.
3. Accounts and information you provide
You are responsible for keeping account login details confidential and for activity under your account. Please tell us promptly if you think someone has used your account without permission.
- Provide accurate name, contact, billing and delivery details.
- Keep your email and phone number up to date so we can reach you about stock, delivery or age checks.
- Do not share accounts in a way that helps under-age access.
- We may suspend or close accounts that break these Terms or appear fraudulent.
4. Products and descriptions
We aim to describe products clearly, including brands, formats and key attributes. Images and descriptions are for guidance. Small packaging or artwork differences can occur when manufacturers update designs. How we keep prices and stock up to date is explained in section 5.
-
Responsible use
Product information on the site is general retail guidance for adult customers. It is not medical advice. Follow manufacturer instructions and UK law.
5. Prices and stock updates
We work to keep both prices and availability on Vapeloxa current. The live website is the place to check what a product costs and whether it is shown as in stock when you browse.
Prices
We aim to keep the prices shown on the site up to date at all times. When a price changes, we update it on the website so the new amount is visible on the product page, in the shopping basket and at checkout before you pay.
Stock
We also aim to keep site stock levels up to date. Even so, popular lines can sell out quickly, and in some cases the website may not yet reflect that an item has run out.
-
Live prices on the site
The price you see when you place an order is the current website price for that moment. Older adverts, screenshots or saved links may show a previous figure after we have updated the site.
-
If stock runs out after you order
If an item sells out before we can fulfil your order and the site has not yet caught up, we will contact you. Depending on what is fair and practical, we may agree a suitable substitute product with you, or cancel the affected item or order and give a full refund of the amount paid for it.
-
Substitutes only with your agreement
We will not force a replacement on you. Any alternative product is offered for you to accept or decline. If you prefer not to swap, we will cancel the unavailable part and refund it in full through the original payment route where practicable.
-
Full refund when we cancel for stock
Where we cancel because stock is unavailable, you receive a full refund of the sum paid for the cancelled item or order. Card and wallet refunds can take several working days to appear, depending on the provider and your bank.
In short. We aim to keep prices and stock on the site up to date. Price changes are published on the website and are visible there. If stock runs out faster than the site updates, we contact you, and either agree a substitute, or cancel and refund in full.
6. Orders and when the contract is made
Placing an order is an offer to buy. We may accept or decline that offer (for example for stock, payment, fraud, age, address or legal reasons).
- You will usually receive an order acknowledgement by email. An acknowledgement is not always the same as acceptance.
- A binding contract for goods is typically formed when we accept your order and/or despatch the goods, unless we tell you otherwise.
- Order status in your account and emails are the practical record of progress (processing, despatched, and so on).
- We may cancel before despatch if payment fails, age cannot be verified, information looks incorrect, or fulfilment is not reasonably possible.
7. Pricing, promotions and payment
Prices are shown on the product and checkout screens and are kept current as described in section 5. Multi-buy or quantity discounts, where offered, are calculated in the shopping basket according to the live promotion rules. Payment methods may include PayPal, Stripe Checkout and Worldpay, depending on the order and gateway availability.
- Applicable tax (including VAT where due) and delivery charges are shown before you pay where the product page, shopping basket or checkout displays them. See section 8 for tax detail.
- We may correct obvious pricing errors. If the correct price is higher, we will ask before charging the difference or cancelling.
- Promotions can change or end without notice for future orders. Already-placed orders keep the pricing confirmed at checkout, subject to payment clearance.
- Card and wallet payments are processed by payment providers. We do not store full card numbers on our website or in our shop database. See our Privacy Policy and Payment Policy.
- Currency options depend on the gateway and your payment method. Bank or card issuer fees outside our control may still apply.
8. Tax and VAT
For purchases in the United Kingdom, applicable tax — including Value Added Tax (VAT) where it is due — is taken into account when we calculate your total. Tax treatment follows the rules in force at the time of your order.
-
UK purchases
When you buy from us for fulfilment in the United Kingdom, any tax that applies to your order under current UK rules is included in the amounts we calculate for that order.
-
Shown on the site, basket and checkout
Where tax applies and our shop system can calculate it, it is displayed on product pages, in your shopping basket and at checkout so you can see the tax (or tax-inclusive total) before you confirm payment.
-
Confirmation when you pay
By placing and paying for an order, you confirm the price and tax breakdown shown at checkout for that order. The checkout total is the amount you authorise us (and our payment providers) to collect.
-
Tax rates can change
UK tax rates, product classifications and display rules may change over time. We apply the rates and settings in force when your order is placed. Earlier screenshots or older emails may not match a later order.
-
Not tax advice
This section explains how tax appears in our shop. It is not personal tax, VAT or accounting advice. If you need advice for your own records, speak to a qualified adviser.
-
Questions about a tax line
If a tax amount on a product page, in the basket or at checkout looks unclear, contact us before you pay and include a screenshot or the product name where possible.
In short. For UK purchases, applicable tax is calculated into your order. Where the shop shows tax, you will see it on the website, in the shopping basket and at checkout before you complete payment. Completing checkout confirms the tax treatment displayed for that order.
9. Cancellation and order changes
This section explains our shop rules for cancelling or changing an order. It does not remove any rights you may have under UK consumer law for faulty or misdescribed goods.
Before despatch
Cancellation: you may request cancellation while the order has not yet been despatched. If we confirm cancellation in time, we will not ship the order and will refund eligible payments according to the original payment method and gateway timings.
Changes: you may request changes (for example address, product or quantity) before despatch. We will confirm whether the change is possible based on stock, payment and processing stage.
After despatch or delivery
Cancellation: once an order has been despatched (handed to a carrier or our courier), it cannot be cancelled through this cancellation process.
Changes: after despatch, and after delivery, we cannot change the order contents, destination or other order details through a change request. Tracking and delivery follow the shipment already created.
-
How to request a cancel or change
Contact us as soon as possible via email, ticket or WhatsApp with your order number. Speed matters: once packing or carrier hand-off starts, we may no longer be able to stop the shipment.
-
Refunds after a confirmed cancel
Where we cancel before despatch (at your request or ours), eligible paid amounts are refunded through the original route where practicable. Card and wallet refunds can take several working days to appear, depending on the provider and your bank.
-
Statutory rights still matter
These cancellation and change rules are our operational policy for ordinary orders. They do not take away rights you may have if goods are faulty, not as described, or otherwise covered by UK consumer law. See section 11 and our Return / Refund policies.
Summary. Cancel or change only works before despatch. After the order has been sent, cancellation is not available. After despatch or delivery, order changes are not available. Faulty-goods routes remain separate.
10. Delivery, risk and failed delivery
Delivery options, timing estimates and charges are shown at checkout where available. Estimates are not guarantees. Actual timing depends on stock, carrier capacity, weather, address accuracy and demand. See our Shipping Policy for more detail.
- Carriers we may use include networks such as DHL, DPD, Evri, Parcelforce and Royal Mail, plus dedicated courier runs where same-day is offered and selected.
- Risk in the goods usually passes when the carrier delivers to the address you gave (or according to the carrier’s delivery rules for that service).
- You must provide a safe, accurate delivery address and be available for any age or ID check the carrier or courier requires.
- If delivery fails because of an incorrect address, refused age check, or repeated non-availability, we may treat the order as undeliverable. Return-to-sender and re-delivery costs may apply where reasonable.
- Tracking is usually emailed and shown in your account after despatch.
11. Returns, refunds and faulty goods
For change-of-mind returns, replacements and refunds, please read our Return Policy and Refund Policy. Those pages explain practical steps, time limits and any product-specific limits that apply to sealed or hygiene-sensitive nicotine products.
-
Your legal rights
Nothing in these Terms excludes or limits your statutory rights under the Consumer Rights Act 2015 and other applicable UK consumer law. If goods are faulty, not as described, or not fit for purpose, contact us promptly with your order number and photos where helpful.
-
Opened or used products
Because many vape and nicotine products are sealed for hygiene and safety, change-of-mind returns may be limited once packaging is opened or products are used. Faulty-goods claims are assessed separately.
-
How we help
Contact support with clear details. We aim to resolve eligible issues with repair, replacement or refund routes as appropriate under the applicable policy and UK law.
12. Acceptable use of the website
You agree to use Vapeloxa lawfully and reasonably. You must not:
- attempt to buy if you are under 18, or help someone under 18 to buy;
- use the site for fraud, chargeback abuse, scraping that harms the service, or unauthorised access;
- interfere with security, payment flows, or other customers’ accounts;
- copy large parts of the catalogue or content for a competing commercial site without permission;
- post or send unlawful, abusive or misleading content through our contact channels.
We may restrict access, cancel orders, or refuse service where we reasonably believe these rules have been broken.
13. Intellectual property
Website design, text, graphics, logos, product photography we create, and software interfaces are owned by us or our licensors. Brand names and product marks belong to their respective owners. You may view and print pages for personal, non-commercial use related to shopping with us. You may not reuse our content for commercial purposes without written permission, except where the law allows.
14. Liability and events outside our control
We provide the site and fulfil orders with reasonable care and skill. We do not exclude or limit liability where it would be unlawful to do so — including liability for death or personal injury caused by our negligence, fraud, or your statutory consumer rights.
- Subject to that, we are not liable for losses that were not foreseeable when the contract was made.
- We are not liable for business losses if you use the site for commercial resale without our agreement.
- We are not responsible for delays or failures caused by events outside our reasonable control (for example carrier disruption, extreme weather, utility outages, cyber incidents affecting third parties, or changes in law).
- Product use is at your own risk once goods are correctly supplied; follow manufacturer guidance.
15. Privacy, cookies and payment security
We process personal data as described in our Privacy Policy. Checkout uses SSL/TLS. Full payment card details are handled by payment providers and are not stored as full card numbers in our shop database.
Need more detail?
Read the Privacy Policy for data rights and contact routes, and the Payment Policy for how checkout methods work day to day.
16. Governing law, changes and contact
These Terms are governed by the laws of England and Wales. The courts of England and Wales have exclusive jurisdiction, except that if you are a consumer living elsewhere in the UK you may also bring proceedings in your local courts where the law allows.
- We may update these Terms from time to time. The version on this page at the time you order usually applies to that order.
- If a court finds part of these Terms unenforceable, the rest still applies.
- A delay in enforcing a right is not a waiver of that right.
Questions about these Terms or an order: use Contact Us (email, website ticket or WhatsApp) and include your order number when you have one.
